Role outline and expectations

As one of our Marketing Project Managers, your primary responsibility is to plan, coordinate, and deliver projects within the agreed timeline, ensuring seamless execution while maintaining open and proactive communication with all key stakeholders.

This role requires exceptional organizational skills to manage multiple projects efficiently, develop and refine internal processes, and drive continuous improvement across the agency. You'll be expected to take initiative in identifying inefficiencies, proposing new workflows, and optimizing project management systems like Asana to ensure the entire team operates effectively.

In addition to strong attention to detail and a sense of urgency in responding to requests and resolving issues, you should be highly adaptable and solutions-oriented—able to anticipate challenges, implement structured processes, and ensure clarity in all project-related tasks.

Reporting directly to the agency’s senior management team, you'll collaborate with them on every project, ensuring alignment, accountability, and consistent updates to keep initiatives on track.

Responsibilities

  • Manage projects independently from initiation through to completion, adding value and taking a proactive approach and taking accountability to ensure that all team members are aware of and working toward timelines and deliverables
  • Coordinate the team's daily / weekly efforts and ensure that they are well directed towards meeting deliverables and deadlines, customer agreements and customer satisfaction
  • Learn from previous projects to apply lessons to future requirements, improving delivery times and quality
  • Develop and maintain high levels of team effectiveness (trust, communication, collaboration, productivity, proactivity and engagement)
  • Develop and implement structured project management processes to improve efficiency, reduce bottlenecks, and ensure smooth execution across all teams.
  • Continuously optimize task management systems (Asana) and file organization (Google Drive), ensuring all team members update their tasks and maintain a well-structured digital workspace.
  • Proactively identify operational inefficiencies and propose new workflows to enhance collaboration, streamline feedback loops, and improve overall agency performance.
  • Serve as the production expert on integrated marketing campaigns, working with cross-functional teams in a fast-paced agency environment
  • Meet project deadlines while maintaining exceptional attention to details, adhering to brand guidelines and client requests
  • Keep projects on track through clear task lists, issue tracking, status reports, and meeting notes
  • Influence the efficiency and quality of work, advocating for the agency/client relationship

Required skills & experience

  • + 5 years working as a project manager in a marketing agency or similar environment
  • + 3 years working for international brands
  • Advanced level English (oral and written)
  • Strong verbal and written communication skills, with the ability to articulate ideas, provide feedback, and collaborate with team members and clients
  • Proficiency with Microsoft Word, Excel, PowerPoint, workflow tools, online project management/ticketing tools (e.g. Asana), and the flexibility to guide a diverse and dynamic team to deliver balanced integrated solutions
  • Ability to manage a large volume of projects, maintaining timelines, scope, and constant communication during the whole process
  • Ability to solve problems with a solution that works for all stakeholders without compromising the quality of the deliverables or the project
  • Possesses an in-depth understanding of project management techniques and brings process innovation in how we manage our day-to-day
  • A professional and approachable demeanour, and the ability to thrive in a dynamic, highly matrixed agency environment
  • Excellent problem-solving skills; able to make judgements that demonstrate logical and creative thought
  • Previous experience working with PPC and Paid Social campaign projects is a bonus
